The decision window

For beds and mattresses, specification typically runs from 15 to 9 months before opening and purchasing from 10 to 4 months before opening. There are two ways into a project: through the specification or through the tender. A product that is already in the spec goes into the tender with the best odds.

Interior designers and architects specify mattress firmness, headboard design and materials in line with brand standards, while the actual purchase, including supplier selection, contracts and order volumes, sits with the FF&E purchasing agent or the owner's procurement team working from pre-approved product lists. For major chains, brand-exclusive mattress programmes largely pre-decide the supplier before independent bidding can start.

Beds and mattresses carry one of the tightest buying windows of any FF&E category, often decoupled from the general PIP cycle.

What is changing in hotel projects

Sleep tourism turns rest into a product

Hotels are building entire stays around sleep, from sound-engineered rooms to guided sleep rituals, as the sleep tourism market heads toward USD 400 billion by 2028. For bed and mattress suppliers, this shifts the room category from a background fixture to a marketed guest experience.

AI-adjusted beds enter the luxury tier

A small number of luxury properties now offer AI-powered beds that adjust pressure points and temperature in real time and store a guest's preferences across stays. It remains a niche premium category today, but it signals where top-end brand standards may move next.

Longevity positioning puts the bed first

Hotel wellness strategies built around longevity name the sleep environment, bed, mattress and room climate, as one of the central levers alongside nutrition and movement. That puts bed quality on the same planning agenda as spa and fitness investment.

Mattress swaps decouple from the PIP clock

Brands increasingly authorise mattress replacement outside the standard seven-year property improvement cycle because of its direct effect on guest satisfaction. This shortens the practical buying window for suppliers compared with other FF&E categories tied strictly to PIP dates.

Trade fairs build dedicated hospitality bedding sourcing

Heimtextil 2026 is launching a Sleep & Meet area specifically to connect hospitality and volume buyers with mattress exhibitors. It is a direct response to demand from contract and hotel buyers for a focused sourcing format rather than a general bedding hall.

Exclusive brand programmes pre-decide the supplier

Large chains such as Marriott run brand-wide, exclusive mattress programmes with a single manufacturer, most recently renewed through 2023 and covering thousands of properties. For most independent suppliers, the open market sits with independent and smaller brand families rather than the major global chains.
