The decision window

For loose and fixed furniture, specification typically runs from 20 to 10 months before opening and purchasing from 15 to 6 months before opening. There are two ways into a project: through the specification or through the tender. A product that is already in the spec goes into the tender with the best odds.

Interior designers specify furniture, materials and model rooms, while a separate FF&E purchasing agent or buyer handles supplier selection, ordering and delivery on the owner's behalf, acting either as agent or as principal depending on the contract. International brands maintain approved vendor lists and design standards that both designer and buyer must work within for flagged properties.

Furniture decisions lock in long before an opening date, and brand standards narrow the field of approved vendors early. Europe currently holds the largest share of projects entering their window in the next 12 months, with 58% tied to international brand programmes.

What is changing in hotel projects

Furniture sourcing shifts away from China

US tariffs of up to 145 percent on some Chinese goods and up to 46 percent on Vietnamese goods are pushing hotel furniture buyers toward Turkey, Italy, Portugal, Colombia and Indonesia, plus nearshoring to Mexico and Canada under USMCA. Procurement teams are rebuilding supplier shortlists rather than absorbing the cost on existing ones.

FF&E decisions move earlier in the schedule

Trade coverage of hotel development reframes the planning question from when to buy furniture to which decisions must be locked before construction starts. That pushes specification work earlier relative to the construction tender rather than running it afterward.

Large-scale furniture refurbishment proves itself

A documented hotel renovation reused 100 percent of its furniture instead of ordering new, recovering more than 2,500 items and avoiding an estimated 88 tonnes of CO2. Refurbishment and reupholstery are becoming a real alternative to full replacement where ESG reporting matters to the owner.

Warmer woods and bolder colour palettes

LODGING, the official publication of the American Hotel & Lodging Association, lists unpolished wood, mixed stone and metal surfaces, bold colour accents and dark moody tones among the material trends shaping hospitality furniture. Polished concrete surfaces also feature in the same set of trends.
