The decision window

For uniforms, scent, music, signage and branding, specification typically runs from 12 to 6 months before opening and purchasing from 6 to 0 months before opening. There are two ways into a project: through the specification or through the tender. A product that is already in the spec goes into the tender with the best odds.

The operator's marketing or brand team leads identity and launch communication, usually with an external PR agency; the architect and interior designer specify signage and wayfinding with a dedicated signage specialist; HR or operations place uniform orders once staffing is largely confirmed; scent and sound concepts are set by the marketing team and delivered by specialist agencies. For branded hotels, the chain's central brand standards constrain supplier choice across all five areas, while independent and boutique properties decide more freely.

Signage and branding decisions are often locked in more than a year before opening, long before a project is visible through a tender. Suppliers who track the pipeline early reach the brief before it is written.

What is changing in hotel projects

Scent marketing becomes a mainstream hotel budget line

Global spend on scent marketing is set to grow from about USD 3.6 billion in 2024 to USD 6.4 billion by 2033. Hospitality already draws a disproportionate share of that budget, ahead of retail and corporate settings.

Curated sound becomes part of brand strategy, not background

Hospitality business education now treats in-venue music as a brand tool that sets pace, narrates brand story and signals the target guest, rather than filler audio. That reframes sound as a specification decision alongside scent and signage.

Wayfinding becomes its own specialised discipline

Signage and wayfinding design now has a dedicated professional practice group under SEGD, separate from general graphic design or architecture. That signals the field is professionalising into its own supplier category for hotel projects.

Pre-opening communication now runs on a fixed countdown

Hospitality marketing consultants now describe pre-opening communication as a staged countdown rather than a single press push: brand identity work starting 12 to 6 months out, then digital presence, then campaigns through to the opening date. Suppliers who plan around this countdown reach decision-makers before the campaign budget is already committed.

Brand growth widens the addressable pre-opening market

Branded hotels now make up over 45 percent of German room supply, up from about 43 percent a year earlier. Each additional branded opening brings a pre-opening package bound by central brand standards for uniforms, signage, scent and sound, not just a logo rollout.
