The decision window

For fitness equipment, specification typically runs from 12 to 7 months before opening and purchasing from 9 to 3 months before opening. There are two ways into a project: through the specification or through the tender. A product that is already in the spec goes into the tender with the best odds.

Fitness areas are specified by the owner, architect and the brand's design and standards team during design development, against a brand standard such as Hilton's Fitness Guidebook or Marriott's fitness center standard. Equipment is then ordered from an approved supplier list by the FF&E procurement contractor or operator, not chosen freely by the property.

Fitness equipment is ordered 3 to 6 months before opening, well ahead of most other FF&E categories. Suppliers who wait for a tender notice are already too late.

What is changing in hotel projects

From Standalone Gym to Wellness Hub

Hotel fitness areas are increasingly planned next to spa, pool and recovery zones rather than isolated in a back of house equipment room. Recovery stations are being added inside the fitness area itself, not only the spa.

Functional Zones Replace Cardio Rows

Hotel gym design is moving away from rows of cardio machines in a basement toward open functional training and mobility space. One cited property places an 18.5 sqm gym on an upper floor with full height glazing instead of underground.

In-Room Fitness Becomes a Room Category

Hilton, Westin, Kempinski and Kimpton now sell dedicated fitness room categories built around Peloton or Technogym equipment. Guest demand backs the shift: most travellers try to keep training while away, and many will pay a nightly premium for the equipment.

Recovery Suites Enter the Gym

Wellness operators are adding cryotherapy, infrared sauna, compression and cold plunge directly into fitness and spa areas, with some properties dedicating a fifth of their footprint to these zones. SIRO markets itself as the first dedicated recovery hotel brand built around this shift.

Branded Residences: Less Wellness Than Advertised

Wellness is a loud marketing theme in branded residences, but only around 21% of their advertised amenities actually qualify as wellness features. Fitness suppliers should treat the wellness label as a sales hook, not a reliable predictor of equipment budget.
