The decision window

For outdoor furniture, shading and landscape, specification typically runs from 18 to 10 months before opening and purchasing from 12 to 5 months before opening. There are two ways into a project: through the specification or through the tender. A product that is already in the spec goes into the tender with the best odds.

Landscape architects are typically engaged at concept or masterplanning stage, sometimes before the site brief is finalised, while outdoor furniture, shading and landscape lighting are specified later by the interior design or FF&E team alongside the rest of the guest experience. International brand standards from groups such as Marriott and Hilton require landscaped common areas with native planting and defined outdoor seating, which narrows supplier choice on branded projects; independent hotels and resorts retain more freedom, particularly for landscape architecture.

Landscape architects are often appointed years before furniture, shade and lighting suppliers get a look in, so late outreach means missing the specification that locks in brand and supplier choice. A project-level view of where each hotel stands lets outdoor suppliers reach the right contact before that window closes.

What is changing in hotel projects

Biophilic Design Links Lobby and Garden

Hotels increasingly use moss walls, living walls and large statement planting to carry a sense of nature from lobbies and dining rooms out onto terraces. Edible and herb gardens extend the same idea into farm-to-table dining.

Outdoor Furniture Moves to Recycled Materials

Recycled plastics, FSC-certified hardwoods and recyclable aluminium are replacing conventional outdoor furniture materials as a visible sustainability statement on terraces and patios. Suppliers increasingly market durability and end-of-life recyclability alongside design.

Exterior Lighting Shifts to LED and Solar

Hotels are converting outdoor light poles and facades to LED fixtures that use a fraction of the energy of older lighting while meeting safety brightness requirements. Some properties pair LED conversions with solar panels to cut running costs and support sustainability claims.

Landscape Architects Join Before the Brief Is Set

Hospitality consultants recommend bringing in a landscape architect before the project brief or site boundaries are fixed, so site conditions shape the masterplan rather than being retrofitted around it. This pushes landscape specification well ahead of the usual FF&E timeline.

Hospitality Landscape Architecture Firms Consolidate

Specialist hospitality landscape architecture practices are merging to build global coverage, as shown by Coopers Hill's 2025 acquisition of Scape Design, which added a London base and a combined portfolio across Asia Pacific, Europe, the Middle East and North Africa. This signals growing recognition of landscape architecture as its own specified discipline on hotel projects.
