The decision window

For network, in-room TV and AV, specification typically runs from 18 to 10 months before opening and purchasing from 12 to 3 months before opening. There are two ways into a project: through the specification or through the tender. A product that is already in the spec goes into the tender with the best odds.

A specialised IT/AV consultant or owner's representative typically specifies network, cabling, Wi-Fi and AV systems during the design phase, working alongside the architect and electrical engineer and managing vendor RFPs. Procurement runs through the general contractor or electrical/IT installer, coordinated with FF&E/OS&E procurement, and for branded hotels the choice of equipment is constrained by the brand's technical standards for Wi-Fi generation, screen size and cabling class.

Network backbone and cabling are specified during design, long before a project reaches the press, while brand standards keep raising the minimum Wi-Fi generation and screen size. Suppliers who are not on the RFP list by then miss the tender entirely.

What is changing in hotel projects

Guestroom screens move from 55 to 65 inches

Brand renovation programmes are swapping 55-inch guestroom televisions for 65-inch units, as seen in Hilton Waikiki Beach's property-wide upgrade. Larger panels raise both the hardware spend and the wall-mount and cabling requirements per room.

AV-over-IP replaces matrix switching in meeting space

Conference and event areas are moving from dedicated matrix cabling to AV-over-IP platforms such as Crestron DM NVX, already running in dozens of Las Vegas hotel and casino properties. That shifts the signal backbone onto the same IP network as guest Wi-Fi and building systems.

Venues and events is pro-AV's fastest growing vertical

AVIXA expects the venues and events vertical, which includes hospitality, to outgrow every other pro-AV market through 2029. The association attributes the growth to the broader experience economy rather than traditional meeting-room collaboration tech alone.

Ageing portfolios push billions into overdue PIP upgrades

Industry estimates put USD 12 to 15 billion in capital expenditure and property improvement plans as due for completion across the hotel sector within two years. Technology line items, including network and Wi-Fi, are part of that overdue backlog and tend to move on a compressed timeline once a PIP is issued.
