The decision window

For electronic door locks and access control, specification typically runs from 18 to 10 months before opening and purchasing from 10 to 1 months before opening. There are two ways into a project: through the specification or through the tender. A product that is already in the spec goes into the tender with the best odds.

Brand standards from groups such as Marriott and Hilton, together with the chosen PMS platform, decide the lock and mobile key vendor at most branded hotels well before an owner or general manager weighs in. Independent hotels choose directly, with IT, security and the general contractor handling final installation and testing near opening.

Brand standards from Marriott and Hilton close the supplier decision early, often before a general contractor is even on site. Waiting for a tender notice means missing that window entirely.

What is changing in hotel projects

The invisible lock on the guestroom door

Lock hardware is moving inside the door leaf so the outside reads like a residential door rather than an institutional one. dormakaba's Quantum Pixel+ and similar designs from other manufacturers follow this shift.

Brand mandates specify the lock before the owner does

Mobile key is becoming the default spec on new-build projects mainly because Marriott and Hilton require it, not because independent demand pulled it there first. The supplier decision at branded hotels is largely made at headquarters level.

PMS platforms widen lock compatibility

PMS and guest journey platforms are adding support for more lock brands so hotels are not tied to one hardware vendor through their PMS choice. Mews added Salto's Space locks to its Digital Key integration as one example.

Digital key adoption converts quickly at opening

A newly opened Belgian property saw 12 percent of all arrivals check in by digital key in its first month, with no legacy habits to overcome. That is an early, quantified read on guest acceptance at new-build projects.

Replacement decoupled from mechanical wear

Cybersecurity and firmware support needs are pushing operators to swap locks before the hardware reaches the end of its 10 to 20 year mechanical life. The driver is software obsolescence, not broken hardware.

Design awards move into lock hardware

Lock manufacturers are now winning industrial design awards, not only security certifications. dormakaba's Quantum Pixel+ took a 2025 ICONIC AWARD from the German Design Council for its concealed, minimalist form.
